MoreLove LLC Organizational Code of Conduct

This Code establishes clear expectations for behavior and accountability within the organization. It applies to all individuals associated with MoreLove LLC, including members, officers, trustees, volunteers, and participants. Commitment to the principles outlined in this Code is a prerequisite for participation with MoreLove LLC. Failure to uphold these standards will subject individuals to review and may result in corrective actions as deemed appropriate by the organization.

Code of Conduct: Core Values and Responsibilities

1. Uphold our mission – All individuals associated with MoreLove LLC are expected to actively uphold the organization’s mission: empower inclusive outreach, promote equity, and create a supportive environment where all individuals are treated with dignity and respect.

2. Create a respectful environment – Actions should consistently demonstrate care, compassion, and a commitment to creating supportive environments. Behavior that compromises the physical or emotional well-being of others is contrary to our mission. MoreLove LLC prohibits discrimination based on any personal characteristic, including but not limited to race, gender, sexual orientation, gender identity, legal status, disability, or age.

3. Honor confidentiality – Individuals associated with MoreLove LLC may encounter a wide range of sensitive or confidential information while working with marginalized communities. This includes, but is not limited to, gender identity information, immigration status, medical and mental health details, socioeconomic challenges, and legal matters. Protecting such information is ethically essential to uphold the dignity and safety of those we serve. All information must remain confidential both during and after an individual’s association with MoreLove LLC.

4. Communicate constructively – All forms of communication – verbal, written, or online, including social media – must be respectful and constructive. Disparaging remarks, hostile interactions, deceptive language, unnecessary combative behavior, or any online activity that undermines the organization’s reputation or contradicts its mission are considered unacceptable.

5. Represent our values – All individuals associated with MoreLove LLC act as representatives of the organization and are expected to uphold its values both online and in person. Their conduct should consistently reflect ethical behavior, integrity, and respect, contributing to a positive image of the organization.

6. Demonstrate transparency – Individuals are expected to maintain open communication, keep others informed, and act with integrity and good intentions. Progress and updates should be reported in good faith to ensure alignment with the goals and mission of MoreLove LLC.

7. Use emotional objectivity – Many of the services and individuals supported by MoreLove LLC are deeply tied to emotions and personal experiences. While empathy is vital to our mission, objectivity and professionalism are equally important. All individuals must separate personal feelings from organizational responsibilities, especially in public settings, to foster respectful and constructive interactions that uphold the integrity of the organization.

8. Act with fairness – All actions, decisions, and interactions should demonstrate fairness. This includes ensuring decisions are equitable and considerate of their impact on individuals and groups.

9. Prioritize health and safety – Individuals are expected to follow health and safety guidelines and promptly report any risks or hazards during MoreLove LLC activities. Adhering to standards, such as food safety at events and physical safety at venues, ensures a secure and welcoming environment and reflects MoreLove LLC’s commitment to well-being.

10. Maintain financial integrity – All individuals must maintain financial transparency, ensure the responsible use of resources, and act in the organization’s best financial interests. Adherence to financial procedures is mandatory.

Accountability and Enforcement

Code Enforcement – This Code of Conduct will be enforced by the Board of Trustees, with the President serving as a liaison, as outlined in Bylaws Section 8.3. Although the President does not have a vote in board matters, they may act as a tiebreaker if required.

Reporting Conflict – Reports can be made confidentially to the President or any Board member. Individuals who report a conflict in good faith are protected from retaliation. MoreLove LLC will strive to maintain confidentiality to the fullest extent possible, as outlined in Bylaws Section 8.4.

Sanctions – Violations of this Code of Conduct may result in corrective actions (sanctions), including verbal or written warnings, suspension of privileges, or removal from the organization. All sanctions will be determined through a fair and thorough review conducted by the Board of Trustees in consultation with the President. Sanctions will be proportionate to the nature of the violation and the circumstances, ensuring accountability and fairness in the process.

Sanctions

Warning – A formal notice of misconduct, outlining the behavior and required changes to avoid further action. If an individual receives more than two warnings within a 12-month period, their conduct will be subject to review, which may lead to suspension or removal from the organization. Warnings can be issued either in writing or verbally, but all warnings must be properly documented.

Suspension – A 6-month suspension from MoreLove LLC activities, prohibiting attendance at events, meetings, or representation of the organization. While typically preceded by warnings, severe misconduct may warrant a review and immediate suspension. The Board of Directors may shorten the suspension period at their discretion, but it will not exceed 6 months.

Removal – Separation from the organization. Individuals removed from MoreLove LLC may reapply for participation after 1 year. To reapply, an individual must be introduced for membership by a board member.

Removal of Membership for Members and Trustees

Removal of a Member – A member is considered not in good standing if they fail to meet membership requirements or uphold the code of conduct. The Board will notify the member in writing of any termination, and the member may submit a written appeal to the Board of Trustees within 5 days for reconsideration, as outlined in Bylaws Section 2.3.

Removal of a Trustee – A Board member may be removed due to violation of the code of conduct, or actions harmful to the organization. Removal requires a two-thirds vote of the Board of Trustees, a majority vote of the membership, or they may resign by written notice. The trustee must be notified before the vote and given an opportunity to present their case. The vote, which may take place at a special meeting, will be final, as outlined in Bylaws Section 3.3.

Temporary Dismissal of Volunteers or Participants

To maintain a respectful and safe environment, the committee chair, designated leader, President, or Board of Trustees may temporarily dismiss any volunteer or participant exhibiting inappropriate or disruptive behavior to ensure the event’s integrity and safety. This is not considered a corrective action or sanction but a temporary measure to address immediate concerns. The individual will be informed verbally and respectfully of the reason for their dismissal.

Documentation and Follow-Up – If necessary, the incident will be shared with the President and Board of Trustees for review. Based on the severity of the incident, the Board of Trustees or President may determine whether further action is required, such as issuing a formal warning or taking additional corrective measures.

Return to Duties – Unless otherwise specified by the President or Board of Trustees, the individual may resume their role at the next scheduled event or activity
